What is Optimal DataHub?
Type component EDI (Electronic Data Interchange), used in the platform Optimal DataHub, allows the automatic transfer of certain data between the source entity (usually called Distribuitor) and the receiving entity ( Producer).
- Main objective – Collecting and consolidating the following information from the distributors' ERP systems:
- distributors' sales to retailers at SKU (Stock Keeping Unit) level;
- prices billed to retailers;
- payment terms agreed by distributors with retailers;
- discounts and free products offered to retailers.
- Secondary objective – Obtaining a clear picture of the level of product stocks at distributors' warehouses.
Main principles
- A distributor's ERP system delivers automatic daily data, by copying to a dedicated folder on an FTP server;
- The validation of the structure of the data files is done on the FTP server, not at the destination;
- Notification of problems related to the correctness of the daily data structure is done automatically, by e-mail;
- There is an EDI server at the destination, where a dedicated application retrieves the files from the FTP and imports the data into the EDI database.
- The mapping between a distributor's master data for products and locations and that of the manufacturer is a minimum 70% automated process.
- Data security is ensured uniformly, through encryption and rigorously controlled access to the FTP and EDI servers.
Optimal DataHub features
- Collection of data from distributors related to daily sales, daily stocks of products and packaging, stocks "at risk" due to the expiration date, respectively forecasted product orders for next week.
- Management of the weekly distribution plan by the producer.
- Providing reports to distributors (sales vs. target, return packaging, price list and discounts).
- News posting by Producer, documents (downloadable for users), comments/complaints by distributors, as well as links to other sites of interest.
- Manufacturer's sell-out per SKU: quantity, volume, value, etc.;
- Locations managed by the distributor's sales force: responsible agent, quantity delivered, discount granted, payment terms;
- Sales performance at the level of distribution agent, distribution channel, geographic area;
- Manufacturer's stocks at SKU level at distributors;
- The RTI from the distributor's ERP in its relationship with each location and with the manufacturer;
- A tracking system for accessing the discount grid;
- A distributor scorecard – its performance indicators, e.g. numerical distribution.
